This wording is a project starting point. Review and update it to reflect the services actually enabled and applicable law before launch.
Support centre, account and updates
Requests and chats are retained for handling, together with the contact details you provided and the guide you came from. Returning to a conversation and signing in use a personal, time-limited link. No account is needed to read guides. Update subscriptions are separate from support requests and require email confirmation; you can unsubscribe using the link in a message.
Analytics and notifications
Optional analytics starts after consent and uses an anonymous identifier recalculated daily. Pages, device type and referring domain are stored, without search content or plain IP addresses in the analytics tables. You can change your choice below the footer. Short-lived counters with hashed technical identifiers help prevent abuse. The hosting provider may keep separate logs.
Retention periods and your choices
By default, usage data is retained for 30 days and closed requests for 180 days before a scheduled task removes their content and personal details. The site owner can change these periods. Accounts allow exporting and deleting synced data and cancelling subscriptions. Contact the support centre about privacy requests relating to a conversation; staff notes are not visible to visitors. Up to seven encrypted backup versions are kept separately and must be considered when handling deletion or restoration.
Delivery providers
Emails are delivered through the configured mail provider. Administrator notifications use the browser's notification service after permission is granted and show a general message without conversation content. Account or conversation details are not sent to third parties for analytics. Adapt the operator details and wording to the services actually enabled.
Information stored on your device
In this version, checklist progress, saved guides and reminders can be stored locally in your browser. Without an account, data stays on the device and may be lost when browser data is cleared. With an optional account, you can choose to store and sync it on the server, including tasks and reminders. Select only data you want to sync and avoid sensitive medical or identifying information.
Information sent to the server
If you send a request or report, the form details will be retained so we can handle it. Provide only what is needed, and do not include passwords, identity numbers or sensitive documents.
Security and data retention
The system is designed to use permissions, form protection and prepared queries. Before launch, the site owner must configure HTTPS, database permissions, backups and a deletion policy.
Third-party services
Official service links open on the organisations' own websites and are subject to their policies. Do not assume that the hosting provider keeps no technical logs.
